Approved Microsoft Teams Rooms for Reliable Meetings
A Microsoft Teams Room (MTR) can be any space ranging from a home office, huddle space, traditional meeting room or a large conference room that uses Microsoft-certified hardware with a Microsoft Teams Room software license, which enables a seamless virtual meeting experience.
Microsoft Teams Rooms allow everyone to participate in the meeting from wherever they are with unique features, such as “Front Row” enhanced attendee view and Intelligent Speakers that automatically transcribe conversations, which improve the meeting experience, all whilst staying within the secure and familiar Microsoft ecosystem.

When you are in a Teams Room, it’s super easy to start a meeting, either by pressing a single button on the in-room controller or you can instantly start the meeting using “proximity join”, whereby your phone or PC can automatically detect that you are in a Teams room and change over to room only audio settings, which prevents any echo and feedback.
Once the meeting starts and the participants join, all audio and video are automatically enabled. During the meeting, adding extra people and muting them if necessary is easy, and presenters can wirelessly share content from their mobile phones into the session.
For the best experience, you will need an in-room PC with Windows 10 or an all-in-one device with Android (8.1+) to run the Microsoft Teams Room software and a certified touchscreen controller.
You will also need a camera which offers sufficient focal length for the room, the best of which can automatically frame the room and have Automatic Speaker Tracking whereby the camera will pick out the person talking and zoom in on them so that remote attendees can see them more clearly.
In addition, your room will require suitable microphones and speakers with the necessary coverage to ensure everyone’s voice is clear. Depending on your room size and any physical limitations within the room, these could be ceiling-mounted, wall mounted or positioned on top of your tables.
You will also need a display monitor, and depending on the size of the room, this could be a single or multiple-monitor configuration with interactive displays for collaborative whiteboarding.
With an interactive display and the Microsoft Whiteboard app, it is possible for both the in-room participants and the remote attendees to jointly whiteboard together.
If you still like to use a traditional whiteboard with pens and paper, in that case, then you can add in a content camera which will zoom in on the whiteboard and convert everything into a digital format that all remote attendees can view; the content even remains visible when the person writing walks in front of the camera!
To ensure everything works properly, you should only use cameras, microphones, speakerphones, controllers and all-in-one devices that are Certified for use with Microsoft Teams Rooms. Microsoft works with several leading manufacturers, including Poly, HP, Crestron, Logitech, Lenovo and Yealink.
HaaS enables you to upgrade your meeting rooms and scale your Microsoft Teams Room deployments at a fixed monthly price to avoid high upfront costs. The total cost of a Microsoft Teams Room will be the cost of the Teams Room License plus the certified hardware needed for each room and any installation services.
The hardware cost will vary according to the size of the room and your preferred Brand of equipment. The installation costs will also vary according to the size of the room and any physical location-specific issues within the room.
